General Terms & Conditions
The following terms and conditions apply to any visitor (henceforth “you” and “your”) who accesses the Sri Lanka FinTech Summit website and its related platforms, and to any individual or company who registers for or purchases any product or service related to the Sri Lanka FinTech Summit. The event and website are organized and operated by TECXA (“TECXA”, “we”, “us” and “our”). These terms and conditions were last updated on [Date] and replace all previous terms and conditions.
1. The Website and Event Platform
TECXA may change, alter or withdraw any part of the website, mobile application, or event platform at any time (with or without notice to you) and may also change these terms and conditions. You should regularly check these terms and conditions to see if any changes have been made. By using the website or participating in the event after any changes to the terms and conditions, you are agreeing to be bound by the new version. If you do not agree to the changes, you should cease using our services and contact TECXA via email at contact@tecxaltd.com.
2. Third Party Sites and Services
Our website and event platform may contain links to other websites or online services provided by independent third parties (“Third Party Sites”). These may include sponsor websites, payment processors, or partner platforms. TECXA is not responsible for the availability or content of Third Party Sites and will not be a party to, or in any way responsible for, any transaction concerning goods or services available from such Third Party Sites. If you purchase products or services from a Third Party Site, your contract will be with that third party and not with TECXA. Our Privacy Policy does not apply to Third Party Sites.
The event will contain advertising and sponsorship materials. Advertisers and sponsors are responsible for ensuring that material submitted complies with Sri Lankan and international law. TECXA will not be responsible for any error or inaccuracy in advertising or sponsorship material.
3. Permitted Use
You may for your personal, non-commercial use:
- Access and view content on our website and event platforms
- Print single copies of materials for personal reference
- Store materials in electronic form on your personal devices
- Use our networking tools to connect with other attendees during the event period
4. Prohibited Use
You may not use any content or services for any unlawful purpose. Except as expressly permitted in these terms, you may not:
- Redistribute any content, including event materials, presentations, or attendee information
- Remove copyright or trademark notices from any materials
- Create a database by systematically downloading or storing content
- Use automated means to access, scrape, or harvest data from our platforms
- Share your registration credentials with unauthorized persons
- Record, photograph, or livestream event sessions without explicit permission
- Use attendee information for unsolicited marketing or commercial purposes
- Impersonate other attendees or provide false registration information
5. Technical Requirements and Security
The website and event platform are optimized for modern web browsers and mobile devices. Payment information is encrypted using industry-standard security protocols. While we implement appropriate security measures, you are responsible for maintaining the confidentiality of your login credentials.
6. Linking Policy
If you wish to link to our website, you must comply with the following guidelines:
- You may display our official logos as supplied by TECXA
- You cannot alter the appearance of our logos or branding
- You cannot imply that TECXA endorses your website or services
- Your website must not contain content that could be considered offensive, illegal, or harmful
- TECXA reserves the right to require removal of any links that breach these terms
7. Event Registration and Fees
Registration Types
- Full Conference Pass: Access to all sessions, networking events, exhibition area, meals, and digital materials
- Virtual Pass: Access to live-streamed sessions and digital networking features
- Exhibition Pass: Access to exhibition area and networking events only
- Student Pass: Discounted access for verified students (restrictions may apply)
Payment Terms
By completing registration, you agree to pay the full amount for your selected pass type. Payment must be received prior to the event. We accept major credit cards and bank transfers. All fees are stated in Sri Lankan Rupees (LKR) unless otherwise specified.
Early Bird and Group Discounts
Special pricing may be available for early registrations and group bookings. Discount codes cannot be combined unless explicitly stated.
8. Cancellation and Refund Policy
Attendee Cancellations
- Cancellations made more than 60 days before the event: Full refund minus 15% processing fee
- Cancellations made 30-60 days before the event: 50% refund
- Cancellations made less than 30 days before the event: No refund
- All cancellations must be submitted in writing to sales@srilankafintechsummit.com
No-Show Policy
No refunds will be provided for no-shows. Full payment remains due regardless of attendance.
Substitution Policy
Substitutions within the same organization may be made up to 7 days before the event with written notice and TECXA approval. External substitutions are not permitted, and registrations cannot be shared.
9. Event Changes and Force Majeure
Event Modifications
TECXA reserves the right to:
- Modify the event agenda, speakers, or format
- Change the event venue or dates
- Substitute speakers or session topics
- Alter the number of attendees or event capacity
Postponement
If TECXA postpones the event, registration fees will be credited toward the rescheduled event or a future TECXA event.
Cancellation Due to Force Majeure
If the event is cancelled due to circumstances beyond TECXA’s control (including but not limited to natural disasters, government restrictions, public health emergencies, civil unrest, or terrorism), TECXA may:
- Offer a virtual alternative event
- Credit fees toward a future event
- Provide partial refunds after deducting incurred costs
TECXA will not be liable for any additional costs incurred by attendees, including travel, accommodation, or other expenses.
10. Travel and Accommodation
TECXA is not responsible for booking or costs related to:
- Transportation to and from the event venue
- Accommodation arrangements
- Visa or travel document requirements
- Travel delays or cancellations
Attendees are advised to purchase travel insurance and make refundable bookings where possible.
11. Code of Conduct
All attendees must:
- Treat all participants, speakers, staff, and vendors with respect
- Comply with venue rules and local laws
- Refrain from harassment, discrimination, or inappropriate behavior
- Follow health and safety protocols as required
- Respect intellectual property rights of speakers and sponsors
TECXA reserves the right to remove any attendee who violates the code of conduct without refund.
12. Photography, Recording, and Media
Event Photography
Professional photographers and videographers may be present to document the event. By attending, you consent to being photographed or filmed for TECXA’s promotional materials, website, and future marketing activities.
Session Recording
Selected sessions may be recorded for virtual attendees or future viewing. Speakers and attendees will be notified when recording is taking place.
Attendee Recording
Attendees may not record, photograph, or livestream sessions without explicit written permission from TECXA and the relevant speakers.
Media Usage Rights
TECXA retains the right to use all photography, video, and audio content captured during the event for promotional purposes. If you object to your image being used, please contact us immediately.
13. Networking and Data Sharing
Attendee Directory
A delegate list containing names, companies, and job titles may be shared with attendees through our networking platform or mobile app. Direct contact information (email, phone) will not be shared without explicit consent.
Networking Platform
By registering, you agree to participate in our digital networking platform where other attendees may contact you. You may opt out or modify your visibility settings at any time.
Sponsor Interactions
When you interact with sponsors (including badge scanning, booth visits, or session attendance), your basic contact information may be shared with those specific sponsors for follow-up purposes. You retain the right to unsubscribe from sponsor communications.
14. Intellectual Property
Event Content
All presentations, materials, and content provided during the event remain the intellectual property of their respective owners. Attendees may not reproduce, distribute, or commercially exploit this content without permission.
TECXA Materials
All TECXA branding, website content, and event materials are protected by copyright and trademark laws.
User-Generated Content
By submitting content to our platforms (including networking messages, survey responses, or social media posts using event hashtags), you grant TECXA a non-exclusive license to use this content for promotional purposes.
15. Liability and Warranties
Limitation of Liability
To the fullest extent permitted by Sri Lankan law, TECXA’s total liability to you for any claims arising from or related to the event shall not exceed the amount you paid for registration.
TECXA will not be liable for:
- Indirect, special, consequential, or punitive damages
- Lost profits or business opportunities
- Technical issues with networking or platform access
- Actions or statements by speakers, attendees, or third parties
- Loss or damage to personal property
Disclaimer of Warranties
The event and all related services are provided “as is” without warranties of any kind. TECXA makes no guarantees regarding:
- The accuracy or completeness of information provided
- The availability of specific speakers or content
- Network connectivity or technical performance
- The number or type of attendees
Indemnification
You agree to indemnify and hold harmless TECXA, its officers, directors, employees, and agents from any claims, damages, or expenses arising from your participation in the event or breach of these terms.
16. Privacy and Data Protection
Your personal data will be processed in accordance with our Privacy Policy and applicable Sri Lankan data protection laws. By registering, you consent to the collection, use, and sharing of your data as described in our Privacy Policy.
17. Governing Law and Jurisdiction
These terms and conditions shall be governed by and construed in accordance with the laws of Sri Lanka. Any disputes arising from these terms or your participation in the event shall be subject to the exclusive jurisdiction of the courts of Sri Lanka.
18. General Provisions
Entire Agreement
These terms constitute the entire agreement between you and TECXA regarding the event and supersede all prior agreements or understandings.
Severability
If any provision of these terms is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
Assignment
You may not assign or transfer your rights under these terms. TECXA may assign its rights and obligations to any affiliated entity.
Waiver
Failure by TECXA to enforce any provision of these terms does not constitute a waiver of that provision.
Updates
TECXA reserves the right to update these terms at any time. Continued participation in the event after changes constitutes acceptance of the updated terms.

20. Special Provisions for Virtual Attendees
Technical Requirements
Virtual attendees must have:
- Stable internet connection (minimum 5 Mbps recommended)
- Compatible device with camera and microphone for interactive sessions
- Updated web browser or event app
Virtual Access
Virtual passes include:
- Live streaming of main stage sessions
- Access to select breakout sessions
- Digital networking platform access
- Download access to available presentation materials
- Recorded session access (where available) for 30 days post-event
Virtual Etiquette
Virtual attendees must:
- Keep microphones muted unless speaking
- Use appropriate backgrounds for video calls
- Respect session time limits and moderator instructions
- Refrain from sharing login credentials
